Custom Basketball Camp Management Software for Collins Enterprises

A camp website with registration and payment connected to LaTanya’s roster, daily check-in and parent updates. Coach referral links let her track paid registrations and attendance from the people helping promote her camps.

LaTanya Collins needs to know who’s coming to camp, who’s paid and what her staff needs when families arrive. She also needs a practical way for coaches to help spread the word and see which registrations came through them.

We launched the Collins Enterprises website with custom basketball camp management software built around that work. Families can register online and choose how to pay. LaTanya has a private portal for the roster, parent updates and daily check-in, with coach referral tracking connected to those same registrations.

The public site introduces the basketball Skill Lab Series. Behind it, the system carries a player’s information through registration and into the work of running camp.

Registration gives LaTanya a usable camp record

Parents move through player details and a basketball profile, then add their contact and safety information. They complete the digital waiver and review their answers before choosing payment.

The form supports online payment or an amount due at the door. That choice stays with the registration, so staff can see when a family still needs to pay. LaTanya can control the player limit and open or close registration as needed.

Spectators have a separate purchase flow for individual days or the full weekend. Their admission doesn’t take a player’s place on the camp roster, and their emailed pass includes a code to show at the door.

We also built a way for families to return from a canceled online checkout and continue with their saved answers. They don’t have to start the registration form again.

Camp overview and capacity

The overview sits above the roster: paid players against the cap, spectator passes sold, and the registration cap LaTanya can change or close while registration is open.

Coach referrals connect camp promotion to attendance

A coach who wants to promote the camp can share a personal referral link or a printable scannable code. Both take families to the camp page. If the referral includes an eligible discount, it carries through registration and into the checkout price.

LaTanya can then see the paid registrations associated with that coach and which of those players attended. The portal also calculates commission totals for review, using either paid registrations or attendance as the basis.

That gives her a useful way to work with coaches on promotion. A coach has something simple to share with families. LaTanya has a record of the registrations that followed, connected to payment and check-in.

The distinction between signing up and attending matters here. She can look at both when reviewing a coach’s referrals after camp. The system keeps those records together so the referral program can account for what happened at the event.

What the referral table records

Each coach has a code, the signups and check-ins that followed it, the discount given, and a commission figure the portal works out. That commission column is a calculation for LaTanya to review. The system does not pay anyone.

A private portal for the work between registration and camp

Once families register, LaTanya can manage the roster and payment status in the portal. She can export player and spectator records, along with digital waiver records, when she needs a spreadsheet or a copy outside the website.

Parent communication is part of that workflow. She can write an update to paid registrants, send herself a test and review the recipient count before sending. The system removes duplicate parent email addresses from the audience, so a parent with multiple paid registrations doesn’t receive the same update for each child.

The portal puts those tasks alongside the registrations they concern, so LaTanya can prepare her roster and contact paid families in the same place.

Camp-day check-in gives staff their own workspace

For a two-day camp, staff can record attendance separately for each day. They can correct a mistaken check-in and print a list for the entrance desk.

Check-in staff have separate access with a limited view of the roster. They can see a flag when a player has a medical note without seeing the medical information itself.

The pay-at-door option continues into this workflow. Staff can see the amount due and record payment before checking in the player. The roster distinguishes a family planning to pay on arrival from one whose payment has already been collected.

Attendance, one state per day

Each player carries a separate attendance state for every day of camp, so staff can check a player in for Saturday and Sunday separately, and undo one they got wrong.

What launched for Collins Enterprises

Collins Enterprises now has a public camp website with online registration and spectator admission, backed by the private tools LaTanya can use to prepare for camp. Coach referral links connect promotion to the registrations and attendance she can review in the portal.

This is the kind of web design and development we like working on: a site built around what the owner needs to do each day. In this case, that means giving LaTanya a way to manage the details behind the camp and give coaches a practical way to help promote it.
